SQL Server data base. I want to backup the whole of DATA and copy whole thing into an external Hard Drive or DVD. So how to locate the DATA. Will this data then be used for query into MS-EXCEL or ACCESS installing in another Computer.

STOP! You are going about it wrong. The best way to create an external backup is by using the internal SQL backup manager (copy only). Create the backups in a folder of your choosing, then copy these files to the desired location. You will need to restore the data to a SQL database on the new computer before it can be used as a data source.
