The spacing Word sets up for most numbered lists doesn't work very well for more than nine items. Here's how to change it:
In Word versions prior to Word 2007 (Vista):
1. Click on any item in the list.
2. Click on the Format->Bullets and Numbering menu item.
3. The Bullets and Numbering dialog box should open with the Numbered tab selected and the numbering style in use shown with a blue border.
4. Click the Customize button.
5. In the Number Position section, change the first list box from “Left” to “Right.” This will push the alignment over so the digits line up.
6. Click OK to see how this looks.
7. If you expect over 99 list items, or if you just want the number to be closer to the text, also increase the value in the Aligned At text box.
In Word 2007:
1. Click in one of the numbered paragraphs.
2. Click the Home tab on the Ribbon.
3. In the Paragraph group, click the listbox arrow for the paragraph numbering icon and select Define New Number Format.
4. Change the Alignment listbox from Left to Right.
5. Click OK.
If you want to adjust the spacing, right-click in the list and select Adjust List Indents from the pop-up menu.
Note that this procedure may change this numbering format on your global template, meaning it will affect future documents and could affect existing ones.
